How do I use the cost calculator for different asset types?

The cost calculator helps you model and set accurate hourly/per-km/per-night rates for your assets.

Aircraft

Fixed costs: Insurance, hangar/tiedown, annual inspection, registration, subscriptions, reserve fund

Variable costs: Maintenance reserve, oil/consumables, prop reserve

Fuel costs: Consumption rate (gallons/liters per hour) × fuel price

Engine reserve: Engine overhaul cost ÷ TBO hours

Expected hours: Annual flight hours target

Result: Calculates hourly rate including all costs divided by expected usage

Vehicles (Cars/RVs)

Fixed costs: Insurance, registration, storage, reserve fund

Variable costs: Maintenance reserve, consumables

Depreciation: Cost per km/mile based on purchase price and expected lifespan

Expected distance: Annual km/miles target

Result: Calculates per-km or per-mile rate

Watercraft/Equipment

Fixed costs: Insurance, storage, registration

Variable costs: Maintenance reserve, consumables

Fuel: Consumption per hour × fuel price

Maintenance: Cost per hour

Expected hours: Annual usage target

Result: Calculates hourly rate

Properties/Vacation Homes

Fixed costs: Insurance, property taxes, HOA fees, reserve fund

Variable costs: Utilities (monthly), cleaning (per visit)

Expected nights: Annual nights target

Visits per year: How many times the property is used

Result: Calculates per-night rate

How to Use

  1. Navigate to Cost Calculator in the menu
  2. Select an asset (or create a new one)
  3. Enter all fixed and variable costs
  4. Set expected usage (hours/km/nights)
  5. Review the calculated rate
  6. Save to apply the rate to usage logs

Tips

  • Include ALL costs, not just direct operating costs
  • Use realistic usage targets (not maximum capacity)
  • Review and update annually as costs change
  • The calculator helps ensure fair cost sharing among members
