Spring 2026 Update: QR Payments, Calendar Sync, Flight Log Import & More
We've been heads-down shipping features that our users have been asking for. This quarter brings meaningful improvements to payments, scheduling, flight operations, and a brand-new asset type. Here's what's new.
SEPA QR Payment Requests
Collecting money from co-owners just got dramatically simpler. Admins can now create batch payment requests that generate a unique SEPA EPC QR code for every member. Members open their banking app, scan the code, and the payment is pre-filled with the correct amount, IBAN, and reference number.
- Works with any European banking app that supports SEPA EPC (N26, Revolut, ING, Sparkasse, and more)
- Each member gets a unique reference (e.g., PR102-M045) for easy reconciliation
We also added Reimbursement Requests using the same QR approach, but in reverse: when a member covers a group expense out of pocket, admins can generate QR codes with the member's IBAN so the group can pay them back.
iCal Calendar Feeds
You can now subscribe to your Kai booking calendar from Google Calendar, Apple Calendar, or Outlook. Each group and asset gets a unique, token-based URL that stays in sync automatically.
- Per-group or per-asset feeds
- Privacy-aware: event details are sanitized so external calendars only show what's appropriate
- Revocable links if you need to reset access
No more switching between apps to check availability.
Flight Log Import (KML)
Pilots using SkyDemon or ForeFlight can now import flight logs directly into Kai. Upload a KML file and Kai automatically extracts block times, flight times, departure and arrival airports, and landing counts.
- Server-side parsing with altitude-based takeoff and landing detection
- Auto-detection of source app
- Pre-fills the usage log form so you just review and submit
- Available on web (drag-and-drop), iOS (Share Sheet or document picker), and Android
This makes logging your flights significantly faster.
Yacht & Sailing Vessel Support
Kai now fully supports yachts, sailing vessels, and motorboats as a dedicated asset type. This means purpose-built fields and workflows for marine use:
- Departure and arrival port tracking
- Nautical miles, engine hours, fuel and water consumption per trip
- Marina fees as a variable cost per trip
- Crew on board logging and weather conditions
- 10 marine-specific maintenance templates (engine service, winterization, hull & antifouling, rigging, sails, and more)
- Vessel type filtering for relevant maintenance schedules
Combined with our existing booking, expense, and maintenance features, Kai is now a complete management platform for yacht co-ownership groups and boat clubs.
Consumable Tracking
For aircraft groups (and beyond), you can now track consumable levels per asset: oil, oxygen, TKS fluid, hydraulic fluid, or any custom consumable you define.
- Visual level bars with color-coded status (green, orange, red)
- Max capacity and alert thresholds
- Pilots report remaining levels as part of their usage log
- Automatic level updates on submission
- Push notifications to the whole group when a consumable drops below threshold
No more arriving at the hangar to discover the oil is low.
Airport Landing Fees
Groups can now configure their known airports and Kai will automatically calculate landing fees on every usage log:
- Separate fee rates for local vs. cross-country flights, and weekday vs. weekend
- Automatic detection of flight type and day type
- Per-landing charges for local flights (including touch-and-goes)
- Separate line items on invoices
One less thing for the treasurer to calculate manually.
Accountant Invoice Forwarding
For groups that work with an external accountant, Kai can now automatically forward paid invoice summaries on a configurable schedule (monthly, quarterly, or annually). Your accountant receives a summary email with a secure download link to a ZIP file containing all paid invoice PDFs for the period.
Referral Program
Love Kai? Now you can share it and save. Every user gets a unique referral link. When someone signs up through your link and subscribes:
- You earn a 20% discount on your annual fee
- Discounts stack — refer five people and your next year is free
- Excess credits carry over to the following year
- Track your referrals, credits, and discount breakdown from your settings page
In-App Support Tickets
You can now create and manage support tickets directly from within Kai. No need to switch to email or an external help desk:
- Categorize your issue (bug, feature request, billing, question)
- Set priority levels
- Attach screenshots
- Follow the conversation thread in one place
- Get notified when we reply
